At Sensi.AI, the Office Manager plays a key role in ensuring smooth operations and a productive work environment for our teams in Austin and San Mateo. You’ll manage daily workflows, support executive leaders, and collaborate across global teams to maintain a positive and engaging work environment. Job Responsibilities
- Manage day-to-day office administration and operations to ensure smooth office workflows, both in Austin (on site) and in San Mateo (remotely).
- Provide operational support to executive-level managers.
- Handle relationships with external vendors for office supplies, technology, equipment, and services.
- Support HR with on-going processes and employee welfare activities such as team events and holidays.
- Manage ad hoc projects and requests (Facilities, Welfare, IT, HR, etc.).
- Maintain accurate records and ensure the security and confidentiality of office data.
- Collaborate with the Israeli office to ensure consistent operational standards.
Requirements
- Experienced Professional: 3+ years of experience in office management, administrative support, or similar roles, preferably in a fast-paced or startup environment.
- Highly Organized: Exceptional ability to manage multiple workflows, prioritize tasks, and maintain smooth office operations across multiple locations (on-site and remote). Detail-oriented with excellent organizational skills.
- Strong Communicator: Strong verbal and written communication skills to collaborate effectively with team members, vendors, and executives. Proven ability to handle sensitive information with discretion and maintain confidentiality.
- Proactive Problem Solver: Proactive and independent with a “can-do” attitude, capable of planning and executing projects, managing ad hoc requests, and supporting ongoing initiatives.
- Cross-Cultural Collaborator: Experience working with global teams or across multiple office locations, ensuring consistency and operational alignment. Demonstrated ability to foster a positive and engaging work environment.
- Vendor Manager: Experienced in managing vendor relationships and negotiating contracts for office supplies, services, and equipment.
